Wildseed Studios is looking for an administrative assistant to help us run our busy office in Bristol.
This will be a stimulating and varied role for a candidate interested in the organisational side of the creative industries.
Initially the role will be expected to cover a wide range of activities. This will be both a challenge but also an opportunity for training and trying out various different functions and departments with a view to specialising at a later date. Initially duties could include:
Looking after the office – ordering supplies, liaising with landlords, cleaners, tradespeople and helping the MD ensure that our offices are appropriately equipped and maintained to support our production teams.
IT – the successful candidate is likely to be computer literate, able to liaise with our external IT provider, and also capable of setting up computers in the office, trouble-shooting simple problems, installing software etc. Training will be provided but an aptitude for basic IT support will be essential.
Diary Management – staff (including senior staff) manage their own diaries at Wildseed but need support sometimes in setting up meetings involving multiple parties or booking meetings at markets – the Office Assistant will be expected to help out with diary management for senior staff in the Company. Other secretarial-type duties are likely to be required including running errands.
Finance – the role will assist our accounts function, inputting data into our accounting system, chasing and reconciling expenses claims, managing office petty cash, filing etc. Training will be provided but a good working knowledge of spreadsheets (Excel and/or Google Sheets) or a willingness to learn more advanced spreadsheet functions will be required.
Legal – our legal adviser will also require help, issuing basic contracts generated from templates, filing, chasing up and tracking contracts.
Clearly an interest in the creative industries and practices is essential, but this is not a role for someone whose primary ambition is to be a creative – other roles that fit that description come up at Wildseed on a regular basis – this is not one of them!
We are looking for a bright and enthusiastic person with good communication skills, good written and spoken English and maths skills. Academic qualifications, perhaps a business administration qualification for example, would be interesting to us, though not essential.
The candidate is likely to be very well organised, list and check-list driven, thorough, good at seeing tasks through to conclusion, good at using their initiative and taking responsibility for tasks.
An interest in and aptitude for IT / working with computers is essential and a familiarity with office applications (spreadsheets, word processors etc) will be a pre-requisite. Training will be provided but this role will not suit technophobes.
This is a role that could lead to a number of career paths at Wildseed or in the creative industries more generally. Successful candidates might progress to work on the production teams of projects that we undertake or on the finance or legal teams for the Company or in operations more generally – we don’t expect candidates to know the direction they want to take straight away, but to be curious about where their work with Wildseed might take them.
As well as being an opportunity for people at the start of their careers after school, college or University it could also be an opportunity for candidates looking for a change of direction in their careers or coming back to the workplace after an extended break for example.
This will be an entry level role and salary in the £18,000 to £21,000 salary bracket depending on experience. The role will be full time in our Bristol office in St Pauls.
